How a Solid HR Program can Enhance Employee Satisfaction

A good HR program will treat your employees as an asset and give management the tools to perform such operations as:

·        Being able to store and retrieve employee information from one central location
·        Calculate time-off accruals automatically
·        Track employee benefits, training and certifications
·        Record performance evaluations
·        Create office policies
·        Write job descriptions and prepare an employee handbook

Some programs even encourage feedback from employees. This can allow management to pinpoint process problems before they get out of hand and allow employees to express their feelings about such things as sick leave, vacation schedules, benefits and other factors that affect job satisfaction.

Most feedback programs allow employees to report problems and issues anonymously. The HR department can then investigate problems being reported and take action to correct the situation if they are valid.

Evaluating the Technology of HR Software

If your company is considering a new HR program, you may be asked to evaluate the technical benefits of the software. Here are some questions you might want to investigate.

·        Does the software have a highly intuitive interface that employees will feel comfortable with?

·        Does the software have an extremely strong response time?

·        Does the software come equipped with a robust report-writing component that will comply with all HR reporting needs?

·        Does the software enable your company to move to a paperless or almost paperless environment?

·        Who is the provider and do they have a good support record?

·        Is there a chance your company may outgrow the software in the future and, if so, does the provider offer additional modules or upgrades that would eliminate the need to install a new system?

Obviously, these aren't all the questions you'll want to ask. But they will give you a start on compiling your own and make the evaluation process go faster and easier.  
 
Case Study # 1 - xpdoffice Provides Business Automation for CLR Group

CLR Group provides total communication solutions to the Federal Government, Department of Defense and commercial clients. Their services encompass all areas of voice, data and video.

Problem
CLR needed to find a human resource program that would integrate with QuickBooks and provide an electronic approval workflow, collect job based time and expense data, and be DCAA compliant. Because CLR is a Department of Defense contractor, the company must follow all DCAA guidelines and comply with Federal Acquisition Regulations.
 
Solution
After considerable evaluation, xpdoffice was selected. The decision was based on the fact that employees would be able to report time, expense and other project information from project sites across the country. Managers would also be able to generate reports in real time and provide customer information on a timely basis.
  
Benefits

CLR has been able to reduce time and expense collection, and QuickBooks data entry processing time by 80% each week. They have also been able to increase their level of customer service by having access to real-time information. This has resulted in better project management. Also, the ability to integrate with QuickBooks has eliminated the time consuming need to duplicate entries while reducing errors. As a result, payroll processing time has also been reduced.

 

Case Study # 2 - Staff Files Organizes Employee Info for Engineered Composites

Engineered Composites, Buffalo, NY, is a major manufacturer of yellow, tactile, safety indicators used to mark public areas such as street corners and railway platforms. They currently have 80 employees.

Problem
 
Quickly creating new files for new employees and keeping old files updated was a challenge. Plus different employee files were maintained in various scattered areas making it difficult to retrieve information in a timely fashion. An entirely new system for maintaining employee records was necessary.

Solution 
Staff Files created by Atlas Business Solutions, which is compatible with QuickBooks, was installed. It is now used to track benefits, vacation time, absences, record performance evaluations and miscellaneous notes, store scanned documents and maintain general employee information.

According to Brian Wallace, Controller, "Staff Files is an easy way to track employee information and keep it secure. Employees can be quickly added and it's nice to be able to filter between active, inactive and terminated employees. Staff Files is a great HR reporting tool."

 

Case Study # 3 - eTSS Opens the Door for GB Tech Growth

GB Tech is a Texas based full service engineering and information technology company. They are involved in various industries including: health-care, academia, government, telecommunications and commercial labor.

Problem
GB Tech's business processes were primarily paper-based with the exception of accounting. In order to continue growing, they needed to find a business automation solution that would function with an accounting system such as QuickBooks.

Solution
The solution was GHG Corporation's electronic Employee Management Solution (eEMS). This software package included the automated business systems they were searching for such as: Human Resource Management, Recruiting & Staffing Management, Pay Stub, and Time Sheets.
